Estate General Manager | Luxury

This service and detail oriented, aesthetically minded, self-directed, hands on, obsessively organized professional will be responsible for day-to-day operations of multiple east coast residences and all of the Principal’s household needs. This broad position encompasses general household management, houseman/housekeeping services, butlering, project management, food preparation and personal assistant services. The Houseman/General Manager must be willing to live in residence in East Hampton with schedule flexibility necessary for a dynamic environment, including frequent travel to New York City as needed. The role requires a world class commitment to providing “6 Star” service to ensure uncompromising resident and guest experience.    

*Luxury Hotel and Forbes 5 Star training/experience is a major plus!


GENERAL DUTIES (including, but not limited to):

Property Management:

  • Serve as the “aesthetic” eyes of the households focused on preserving the aesthetic integrity; Perform daily inspections of the properties, Manage, schedule, and monitor third party service and repair vendors keeping accurate and organized service and repair logs and photo/video documentation of work performed; Reconcile and approve vendor invoices and ensure timely delivery to family office
  • Assist the Director of Design and Construction to manage, schedule, and monitor planned upgrades and renovations (e.g. HVAC, audio/visual, interior design, general construction, etc.); Assist Director of Design and Construction to plan and oversee detailed timelines and budgets to ensure projects are completed on time and within budget
  • Maintain inventory, organization, and labeling of household items, furniture, equipment, event supplies, etc.
  • Maintain integrity of household art, including arranging framings, showings, transport, etc.
  • Maintain Audio/Visual systems throughout the residences, including routine testing and updating of Crestron system
  • Digitally organize and manage wine cellar inventory, book collections, record collections, etc.
  • Manage security systems and protocols to ensure highest standards of safety, confidentiality, and privacy
  • Receive guests and provide hotel level guest services with highest commitment to excellence (guest area preparation, greeting, packing, unpacking, concierge services, etc.)

Staff Training and Management:

  • Hire, train, schedule, and manage housekeepers, junior housemen or butlers, outside vendors, etc.; Personally assist with cleaning on a daily basis
  • Maintain detailed Household Operations manuals, including implementation of daily/weekly/monthly checklists 
  • Create training curriculum and Service Manual for domestic staff to ensure cross-functional, world-class capability in cleaning, food preparation, and service
  • Ensure accurate and signed timesheets are delivered to family office in a timely manner each week
  • Create and maintain a household schedule and resource plan conducive to the smooth operation of the household, including scheduling staff appropriately for nights and weekends
  • Train staff on emergency plans for earthquake, fire, disaster preparedness



Meal Service:

  • Plan, organize, and occasionally cook family meals 
  • Assist in the kitchen with meal preparation
  • Table setting
  • Serve and cleanup after family meals, business meetings, and special events
  • Prepare and serve appetizers, drinks, and dinner for formal and informal dinners, parties, or at-home meetings
  • Plan, budget, and execute first-class dinners and events, including food preparation (or catering for large events), valet, entertainment, staff, rentals, etc.; Serve as lead server for events, guest stays, meetings, and social gatherings

Guest Reception and Concierge Services:

  • Receive guests upon arrival
  • Packing and unpacking for travel
  • Anticipate needs and provide “6 Star” hotel level services for the Principal and his guests
  • Laundry, steaming, and ironing as necessary
  • Housekeeping
  • Poolside service   

Principal and Guest Care:

  • Wardrobe management
  • Maintenance of all electronic devices (computers, tablets, and cell phones always charged)
  • Clothing and grocery shopping
  • Driving; Run errands

Pet Care:

  • Care for dog according to his daily schedule
  • Monitor specific diet and pre-approved snacks
  • Manage mediation administration and daily checklist
  • Daily walks, occasional grooming as needed

Administrative Duties:

  • Executive support at home for Principal as needed, including coordination with family office and corporate staff
  • Communicate and proactively manage all appointments with Principal’s Scheduling Assistant in a thorough and timely manner; Ensure Principal is on time for all appointments
  • Proactively maintain Household Calendar in Microsoft Outlook with vendor schedule, staff schedule, etc.
  • Keep accurate records and receipts of household expenses submitted weekly in Concur; Identify cost saving opportunities

  • Schedule must be uncompromisingly flexible due to the 24/7 on-call nature of the position, and frequent evening and weekend work; Must willing to live-in or out as needed
